Appointment booking and advisor calendar integration

Citizens Advice Bookings is an appointment booking platform developed and maintained by Moocow Media for participating Citizens Advice organisations.

The platform helps Citizens Advice teams manage appointment availability and allows authorised staff to connect their advisor Google Calendars to the booking system.

How the Google Calendar integration works

An authorised Citizens Advice administrator or advisor can connect their Google account to Citizens Advice Bookings.

Once permission has been granted, the platform can use the connected Google Calendar to:

  • Check when an advisor is available.
  • Prevent appointments from being booked when the advisor already has a calendar event.
  • Add confirmed Citizens Advice appointments to the advisor’s calendar.
  • Update or remove calendar events when a booking is changed or cancelled.
  • Keep appointment availability synchronised with the booking platform.

The integration is used solely to provide appointment scheduling and calendar synchronisation functionality.

Who can use the integration?

The Google Calendar integration is only intended for authorised staff and advisors working with Citizens Advice organisations that use the Citizens Advice Bookings platform.

It is not a public calendar application and does not provide access to Google Calendar accounts without the account holder’s permission.

Google account permissions

Citizens Advice Bookings uses Google OAuth to request permission before accessing a user’s Google Calendar.

The platform only requests the permissions required to provide its calendar and appointment-booking features.

Users can review the requested permissions before connecting their account and may revoke access at any time through their Google Account settings.

How Google Calendar data is used

Google Calendar information is used only to:

  • Determine advisor availability.
  • Manage appointment-related calendar events.
  • Prevent conflicting bookings.
  • Synchronise booking changes with connected calendars.

Google Calendar data is not sold, used for advertising or used for unrelated marketing purposes.

Disconnecting Google Calendar

Users may disconnect their Google Calendar from Citizens Advice Bookings or revoke access through their Google Account security settings.

Following disconnection, the platform will no longer be able to access or synchronise the user’s Google Calendar.

Users may also contact Moocow Media to request assistance with disconnecting their account or deleting stored Google authentication data.
